PLEASE NOTE: (1) Grades On Disk requires the user to enter the course grade sheet code for all courses during initial class list loading. (2) Don't use the double-quote character ( " ) when naming drives or folders.

Download the complete Windows version. Choose this to install Grades On Disk for the first time on a PC running either Windows 3.1, Win95 or Win NT.
Download the update Windows file. Choose this to update your existing Windows 3.1, Win95, or WIn NT installation.
Download the Macintosh version. Choose this to install or update Grades On Disk on a Mac.
Update your MS-DOS version to the Windows version. Instructions for how to update your existing MS-DOS installation to the new Windows 3.1 / Win95 / WinNT version.

Windows Version Installation Instructions

The Windows version is distributed over the Web in a single self-extracting file named GRADWxxx.EXE, where xxx is the program version number. This is a 16-bit Windows program that runs on Windows 3.1, Win95 and Win NT. To install using this file,

  1. Create a directory on your local hard drive for Grades. In most cases, the following procedure will do:
  2. For all versions of Windows: Run Netscape and download the full version file (GRADWxxx.EXE), saving it in the Grades directory you just created.
  3. For Windows 3.1: Open an MS-DOS window and change to the Grades directory by typing CD \GRADES. Run the file you just downloaded by typing GRADWxxx at the DOS prompt (substituting the appropriate digits) and pressing Enter. If you are not sure of the name of the file, enter dir then press Enter to see the file name. The file will unpack itself and install Grades On Disk.
  4. For Win95 and NT: Open the C:\GRADES folder you created above and double click on the GRADWxxx.EXE item. The file will run and install Grades On Disk. If you want Grades On Disk in your Start menu you can add it in the usual fashion. (If you are not sure how to do this see Windows Help.)
  5. To test Grades, open the Grades directory with FileManager for Win3.1 or Explorer/MyComputer for Win95 and double click on the GRADES.EXE item in the GRADES directory/folder. If you get a message saying "Invalid FOXUSER.DBF file, replace" answer Yes or OK. If Grades starts the installation was successful.
  6. Close Grades by selecting Exit / Exit.

Windows Version Update Instructions

Version 3.00 is different enough that a simple upgrade is not possible. The steps to upgrade are as follows:

  1. For all versions of Windows: If you are keeping any archived data files in the existing Grades on Disk directory, please move them to another directory. Delete all the files remaining in the Grades directory.
  2. For all versions of Windows: Run Netscape and download the full version file (GRADWxxx.EXE), saving it in the Grades directory you just created.
  3. For Windows 3.1: Open an MS-DOS window and change to the Grades directory by typing CD \GRADES. Run the file you just downloaded by typing GRADWxxx at the DOS prompt (substituting the appropriate digits) and pressing Enter. If you are not sure of the name of the file, enter dir then press Enter to see the file name. The file will unpack itself and install Grades On Disk. (If you did not delete all the old files before installing the new version, it may ask if it can overwrite each remaining file, hit "Y".)

Macintosh Version - New Installation Instructions

The Macintosh version is distributed via compressed file over the Web using BearAccess. You must have BearAccess installed and running on your Mac to install Grades On Disk. The Grades On Disk files are only available during the grading season.

  1. Start BearAccess.
  2. Select the File Transfer ("FTP") option. If you are asked whether you want to update or install Fetch answer OK. If you do not you will not be able to install Grades On Disk.
  3. In the New Connection window enter the following:
  4. Press the OK button. Fetch will connect to the ftp server.
  5. Double click on the pub directory.
  6. Double click on the grades_on_disk directory.
  7. Double click on the mac directory.
  8. Double click on the gradmxxx.SIT file, where xxx is the current Grades release number. There will only be one of these files.
  9. In the download window select the Desktop button.
  10. In the top window select the drive you want Grades to reside on. The drive name must appear in the field box above the window.
  11. In the bottom field labelled Save the archive contents in: enter the desired directory name. We recommend using Grades or Grades On Disk; this will become the folder name for Grades On Disk.
  12. Press the Save button.
  13. Fetch will download and install Grades On Disk in the folder you indicated above. Progress is indicated by the little pie graph to the right of the main window. Please do not do anything else with your Mac until the process is finished; the complete installation may take a few minutes.
  14. Newer Macs may put a copy of the .SIT file in the folder you indicated, and create another folder below this containing the installed program. If so, you may want to rename and/or move this folder, and Trash the .SIT file as it is no longer needed.
  15. When the download is finished, wait five seconds to let your Mac settle down.
  16. Close the Fetch window, then select File / Quit from the menu bar.
  17. Set the Mac system memory allocation on the program file:
  18. Test the installation by double-clicking on the Grades program icon. Grades On Disk should start up.
  19. When prompted "Overwrite Invalid Foxuser file?" press Yes or OK
  20. From the menu select Exit / Exit to leave Grades.

Please note that some PowerMacs may require the memory allocation for Grades On Disk be increased to more than 8000k. If you receive any Error 43 or Error 13 messages while running reports please make this adjustment to the program icon.

Update Your MS-DOS Version to the Windows Version

To update from the DOS version to the Windows version you must erase your old version and install the new Windows version. The steps to take are as follows:

For Win 3.1:

  1. Run FileManager (Win3.1) and highlight your current Grades On Disk directory.
  2. Press your Delete key.
  3. Windows will ask if you want to delete this subdirectory. After verifying you have indeed highlighted the Grades On Disk subdirectory answer Yes.
  4. Answer Yes to All to the delete file prompts. You should only see one or two of these.
  5. Your old version of Grades On Disk is now removed from your computer. Now install the new version following the steps outlined in Download the complete Windows version.
  6. To test Grades, double click on the Grades.Exe program item in your Grades directory. If you get a message saying "Invalid FOXUSER.DBF file, replace" answer Yes or OK.
  7. If Grades starts the update was successful.
Be sure to check the version number in Utilities / Show Version Info and compare it to the version number listed at the top of this page.

PLEASE NOTE: Grades is updated as the need requires. Please check the latest version number (given at the very top of this page) against your copy's version number before you create any grade export disks.

If you are not sure which version you have, run Grades, select Utilities then Version Info. The latest version number is at the top of the following list.

Version 3.0 for Mac and PC released 12/7/2001. Changed all SSN references to CUID. New Sample Data files with all-0 SSNs.
Version 2.21 for Mac and PC released 6/1/2000. Clarified multi-export-disk prompts, fixed problem with Reset One Course.
Version 2.20 for Mac and PC released 4/6/99. Added Reset One Dept and Reset Today's Exports function; now pulls year and term for export disk records from Admin.DBF; added "Press a key to continue" to window which shows number of grades exported after creation of export disk. Version 2.19 for Mac very minor update released 7/30/99. Fixed a spelling problem.
Version 2.19 for Mac and PC released 3/15/99. Fixed problem with Mac for multi-department users that prevented swapping disks when exporting multiple depts. Added "All Grades for One Dept" report for these same users under both platforms.
Version 2.18 for Mac and PC released 11/17/98. Added TAB export and import functions for those needing to interface Grades on Disk with homegrown grading systems.
Version 2.18 MAC ONLY released 8/28/98. Users getting stuck between disks in multi-dept/multi-disk grade exports. Wanted export disk selection reset to Desktop between disks for multi-dept use. Because of way Fox is selecting at that point (GETFILE), don't seem to be able to get the Desktop, so reset to top level of Grades drive, from which user can select next GRADES export floppy disk.
Version 2.17a MAC ONLY released 4/20/98. Mac version had problems with MGR and WD export report. Recompiled report and application and it mysteriously works. Probably an object in the report was not converted properly on previous conversions. This is a MAC ONLY version number and release.
Version 2.17 released 4/7/98. Changes to Export menu -- removed two export commands; changed name of "Export All Non-Exported Grades" to "Export New Grades." Added student college to F and INC report printed during creation of grade export disk. Changed program and documentation to all the use of a folder/directory for class lists instead of assuming a floppy disk. Updated documentation to reflect these changes.
Version 2.16 released 11/6/97. Enhancement to export report; now shows department name at top of each page for administrative use.
Version 2.11 released 4/2/97. Minor fix to Utilities / Reset Export Disk Location in all versions, and changed the PRNFILE.FRX report on the Mac version to be more compatible.
Version 2.10 released 4/2/97. Minor fixes to the multi-department handling and export disk creation and report writing to be more compatible on more hardware combinations. First Windows version released.
Version 2.10b1 released 3/20/97. Mac and MS-DOS versions released for initial testing. Added capability to handle class list emails with grades at end of each line. Changed the way flagging was performed for exported grades. Changed the way the export file report was generated. Added F and INC report which is printed before the first copy of the export file report.
Version 2.06b released 12/20/96. MS-DOS version only. Temporary fix to F and Incomplete Report. Also note simplified updating procedure for MS-DOS version!
Version 2.05b released 12/20/96. Patched version to fix Mac string termination problem, restore ability to enter some grades, and fix problem with flagging exported grades.
Version 2.03b released 12/16/96. Patched version to the following uncommon problems: Mac problems printing to some printers (only Grades By Course report repaired), dept number field to small in edit window. DOS: no students display in DataEntry/Enter Grades for one Section. You don't need this update if you are not having problems. This version is only available as an update to your already-installed v2.02.
